The Role

BGC is looking for an Administrative Assistant to join our team. You will provide support to Project and Office Manager(s) mainly with project admin support pertaining to logistics, field work coordination and general admin support when needed. You will work alongside BGC team members, and collaborate with your fellow Admin staff. You will be working in a fast-paced, dynamic office environment alongside our Admin Team, Engineers, Geoscientists, and other teams within BGC, and will report to BGC’s Senior Office Administrator.

You will gain valuable industry experience working at a multinational geotechnical engineering firm, while practicing our core values of One Team, Excellence, Curiosity, Common Sense, and Clarity.

Responsibilities

  • Logistics planning for field crews
  • Tracking and booking travel
  • Tracking and booking safety training
  • Maintaining project field schedules
  • Understanding and implementing client-specific requirements for the project
  • Assisting Project Accountants or Project Managers with verifying invoices and budget tracking
  • Submitting monthly reporting to client(s) as required
  • Assisting with document control
  • Acting as a point of contact for the project team and facilitate communications
  • Data entry and uploading project-related documents to BGC software
  • Scheduling meetings and keep minutes
  • Being flexible with work hours during BGC’s busy field season to accommodate project location time zones
  • Ad-hoc administrative duties

Required Education, Experience & Competencies

  • 5+ years of related experience, providing admin support in a project setting or similar role
  • Diploma in Project Management or Business Administration is an asset
  • Self-motivated, with strong time management and task prioritization skills
  • Strong attention to detail, ability to multi-task and meet deadlines
  • Familiar with budget tracking and have a basic understanding of accounting
  • Have a common-sense approach and sound critical thinking skills
  • Strong oral and written communication skills
  • Proficient user of MS Office suite with emphasis on Excel and comfortable learning new technology and software
  • Strong formatting skills
  • Ability to work effectively both independently and as part of a team
  • Have a positive attitude and value teamwork
  • Willingness to take on various tasks as requested
  • Availability to do occasional work outside the regular workday

Location

BGC’s Vancouver, BC or Calgary, AB offices are preferred. Other BGC locations may be considered for exceptional candidates.
